Your insurance guy wants a log of safety meetings. The GC wants records before your crew can start. This binder is where those records live: 8 tabs, 40 sheets, built for a five-person crew and not a safety department.

Most small contractors aren't missing safety. They're missing the sheet that proves it happened. You print a set for each job, put it in a three-ring binder, and fill it in by hand on site.

Who it's for

You run a small crew, nobody on staff owns safety, and someone outside the company has started asking for paper.

Not for you if you already run a full written safety program. This binder is the record-keeping side of the job. It is not a written safety program and it does not write one for you.

What's inside: 8 tabs, 40 sheets

  • Tab 1, Emergency Action Plan. Emergency contacts, evacuation plan and assembly point, incident response steps.
  • Tab 2, Jobsite Safety Checklists. Daily safety checklist, weekly site inspection, pre-job hazard assessment.
  • Tab 3, Toolbox Talks. How to run one, a talk record with crew sign-in, a 40-topic index, and 8 talks written out in full with the sign-in on the same sheet.
  • Tab 4, Incident & Accident Reports. Incident report, near-miss report, injury and illness log. The report tells you to finish it within 24 hours.
  • Tab 5, PPE Requirements & Records. PPE by task and by trade, a per-person issue and acknowledgment sheet, and a crew acknowledgment sheet.
  • Tab 6, Safety Training Records. Crew training tracker, certification and renewal log, and a one-page training record per person.
  • Tab 7, Heat & Weather Safety. Heat safety plan, daily heat log, acclimatization schedule, cold weather, severe weather and site shutdown. Written to the federal baseline; several states require more.
  • Tab 8, OSHA Quick Reference. Rights and responsibilities, most common violations checklist, what to do if OSHA arrives, recordkeeping requirements.
  • Plus a set-up section at the front and a crew sign-off page at the back.

Why it pays for itself

  • A GC who can't see your training records can hold your start date. Tab 6 is the page you hand over.
  • A talk with no signed sheet is a talk nobody can prove happened. Every talk here ends in a sign-in.
  • An incident written up the same day doesn't change its story when the insurer calls three months later.

Format

Two print-ready PDFs on Letter paper: the 53-page binder and a 9-page User Guide. The binder has no fill-in form fields. It is built to be printed and written on, because a signature is the point of it.

After you buy

Download the files, print the binder single-sided, and put it in a 3-ring binder with eight tab dividers. Fill in the company page, name the person who owns it, and start the daily checklist that morning.

Pair it with

The OSHA Inspection & Audit-Readiness Kit. This binder is where the daily records live. The Kit holds what an inspector asks for first: the 300 log, the self-audit and the inspection-day playbook.

A template for preparation, not legal advice, and not a certification. Single-business commercial use, on every project your business bids and builds.
